Overview

The TitleSCAN Web Data Entry Statistics Reporting System provides detailed or summary reports for the Property Index and General Index entries going into the TitleSCAN database.  Once these entries have been posted, they will be used to provide search results for those searching the plant.  These entries need to go in accurately and efficiently.  The Data Entry Statistics Reporting System can help management review the work of the data entry operators and can be used as a basis for incentives.

There are two requirements for running the Data Entry Statistics Reporting System.  The first requirement is to turn on the Production Statistics feature in TitleSCAN Data Entry.  The Data Entry software is used for entering data into the TitleSCAN database.  When this feature is turned on, each entry by a data entry operator is logged.  Details on how to turn on this feature are described in the Getting Started Section of this documentation.

The second requirement is the Data Entry Statistics Reporting System itself, which is an optional add-on component.  This component is a standalone Windows software application that works with the Production Statistics data and produces reports detailing the entry activity for the selected time period.  It is not an integrated part of TitleSCAN Web, although it analyses the records going into the same database used by TitleSCAN Web.  The Data Entry Reporting System stores its information in a SQL database.  It also allows you to manage the SQL database where the entry data is stored and periodically archive the oldest of that data to a parallel archive database.  If you wish to do so, you can also purge, or permanently remove, the oldest archive data if it is no longer required.

IMPORTANT:  The Data Entry Statistics Reporting System is sold as an add-on package to TitleSCAN customers needing detailed entry information such as operator and county totals, and entry by entry time stamps for reviewing operator efficiency.
 

Production Statistics in TitleSCAN

The Production Statistics feature in TitleSCAN logs detailed information on all of the Property Index and General Index data going into the TitleSCAN database.  When an operator completes an entry, a date-time stamped record describing the activity in detail is prepared for the Entry Statistics database.  This activity is initially stored in delimited files on a single TitleSCAN server or on multiple TitleSCAN servers and then is loaded into a central SQL database.

The Production Statistics feature became available starting in version 8.0(9) of the TitleSCAN Data Entry software.

TitleSCAN Web Data Entry Statistics Reporting System

The TitleSCAN Data Entry Reporting System is a standalone software application that can be installed on any Windows XP or later workstation able to access the TitleSCAN Web SQL database.  It allows you to maintain a list of the data entry operators, produce summary or detailed activity reports in PDF format over any specified time period, and manage the Current Entry Statistics database and the Archive database.  The detail report gives entry by entry detail including a time stamp.  The summary report gives totals by user and county and type of entry.  The reports can be run for all users or a single user.  

The Data Entry Reporting System can be ordered with a new TitleSCAN Web System or it can be ordered at any later time.

IMPORTANT:  TitleSCAN Web is continually enhanced with new features, some of which may alter the TitleSCAN Web Data Entry Statistics database structure.  TitleSCAN Systems will produce new releases of the Data Entry Statistics Reporting System whenever such changes occur.
 

What Else is Required?

The TitleSCAN Web Data Entry Statistics System stores activity data in a Microsoft SQL Server or Microsoft SQL Server Express database, and one or the other of those two SQL database systems must be installed on the TitleSCAN Web server or on a separate server that can be accessed by the TitleSCAN Software.  It should be noted that Microsoft SQL Server Express is a free download from Microsoft.

NOTE:  Microsoft SQL Server Express is a free download from Microsoft.  When used to log activity data, it will perform equally as well as Microsoft SQL Server itself.  
 

Since the reports are generated as Adobe PDF's, it is necessary to have the Adobe Acrobat Reader installed on the workstation where the Data Entry Statistics Reporting System is installed.  The Adobe Acrobat Reader is available as a free download from Adobe.

Enhancements and Changes to the Data Entry Statistics Reporting System

From time to time, TitleSCAN Systems may alter the way in which the entry data is formatted or stored.  This might be done to enhance the database structure or to add new features.  Whenever such changes occur, TitleSCAN Systems will update the Data Entry Statistics Reporting System and release a new version that is compatible with the latest TitleSCAN data structure.

What are Custom Reports?

Although the Data Entry Statistics Reporting System has been designed to provide the information needed by most companies as they monitor the productivity of their operators, some companies may have special reporting requirements that the standard software does not support.   In such cases, TitleSCAN Systems will develop on a fee basis specially-programmed custom reports that can be added to a customer's Data Entry Statistics Reporting System.  These special reports will be listed on the Custom Reports menu from which they can be selected and run.
